Role Summary

The Operations + People Manager is a highly structured, analytical team member responsible for the seamless execution and improvement of central operations. Reporting to the Operations Director, they serve as the essential bridge between strategy and daily execution.

This role requires a proactive executor who can own core processes, ensure cross-functional projects maintain momentum, and manage critical vendor relationships. The Operations + People Manager brings a sharp eye for detail and a focus on organizational efficiency for every task from auditing complex Notion architecture and managing security systems to acting as the internal administrative linchpin for new studio builds. They are a clear and proactive communicator, capable of navigating the complexities of multi-unit fitness operations with a focus on scalability and operational excellence.

Core Responsibilities

Business Operations & Strategy

  • Standard Operating Procedures: Ensure operational policies and procedures are up to date at all times and proactively assist in the development of new standard operating procedures (SOPs).

  • Financial & Data Oversight: Prepare reports and analyze cross-functional data at the request of the leadership team to support informed business decision-making and identify specific operational efficiencies.

  • System Administration: Act as the lead administrator for company tools including Mariana Tek, 7Shifts, Slack, Notion, etc.

  • Strategic Research: Support with research and assessment of potential new processes, systems, and tools in an effort to improve operational efficiency.

  • Project Review: Regularly review active projects across all business functions (Marketing, People, Ops, Finance, Product) to track progress against deadlines.

People Operations

  • Workflows: Lead the operational side of the employee lifecycle, including formalizing onboarding/offboarding workflows.

  • Talent Acquisition Support: Support the recruitment process for future Central Operations roles while keeping applicant tracking systems up to date for all roles across the company.

  • Onboarding & Training: Support the operational training for new hires to ensure they are proficient in company systems and Notion architecture.

  • HRIS Administration: Support the management of the company’s HRIS by ensuring data accuracy and troubleshooting system issues.

New Studio Openings & Facilities

  • Construction Liaison: Provide operational support during new studio builds by managing requests from contractors and ensuring all internal follow-ups are completed in a timely manner.

  • Build-Out Documentation: Keep spec books and build-out requirement documents up to date. Formalize "learnings" from past openings into clear, usable guides for future projects.

  • Facilities Oversight: Manage the facilities ticketing system to ensure maintenance issues are resolved in a timely, cost-effective, and efficient manner. This includes tracking high-priority repairs through to completion and identifying recurring issues to prevent future operational disruptions.

  • Vendor Management: Act as the primary point of contact for key suppliers and service providers to ensure quality and cost-effectiveness.

  • Security Systems Management: Act as the primary administrator for all studio security systems, including alarms, cameras, and door access controls. This includes managing staff permission processes and coordinating with security vendors for maintenance.

Systems & Compliance

  • Workspace Optimization: Build and maintain high-functioning Notion workspaces that serve as the "source of truth" for the company.

  • Database Auditing: Perform routine audits of Notion databases to ensure data integrity, proper usage, and alignment with business objectives.

  • Operational Compliance: Ensure all studio locations are operating in alignment with internal policies and local regulatory requirements (e.g., health and safety standards, business licensing).

  • Risk Mitigation: Proactively identify operational risks such as outdated safety protocols or system vulnerabilities and work with leadership to implement corrective actions.

Required Skills & Qualifications

  • Industry Experience: 3+ years of operational experience specifically within boutique fitness or high-touch hospitality. You must have a deep understanding of the logic behind class-based scheduling, studio utilization, and the specific pressures of a multi-unit fitness brand.

  • Technical Architecture (Notion & Mariana Tek):

    • Notion: You are an expert-level architect. You don't just use Notion; you build relational databases, manage complex permissions, and optimize workspaces for team-wide adoption.

    • Mariana Tek (or similar platform): You have back-end administrative experience. You understand the nuances of credit rules, membership contracts, and promotional configuration within the platform.

  • Systems Management: Proven experience in the administration of essential business tools, including 7Shifts (labor management), Slack (communication protocols), and Google Workspace. Experience with HRIS and ATS platforms is required.

  • Physical Operations & Security: Practical experience managing digital-to-physical security systems and cloud-based camera/alarm systems.

  • Project Stewardship: Demonstrated ability to act as a "project linchpin" tracking cross-functional deadlines, gathering requirements for construction build-outs, and ensuring no detail is missed in the transition from plan to execution

  • High-Stakes Communication: Exceptional ability to distill complex operational data into clear briefs for senior leadership. You must be comfortable with proactive flagging (telling leadership when a project is at risk before it fails).

  • Analytical Detail Orientation: A relentless eye for the nitty-gritty. You are someone who finds the one broken link in a Notion database or the one incorrect setting in a pricing window before it impacts the guest.

Measures of Success

  • Operational Efficiency: Demonstrable improvement in studio workflows or cost-savings through process redesign.

  • Proactive Flagging: Leadership is alerted to potential project delays before they become critical issues.

  • Document Accuracy: All SOPs and build-out documents are current, reducing the need for leadership to answer repetitive technical questions.

  • System Reliability: Notion and Mariana Tek are consistently maintained with high attention to detail.

Job Information

Reports to: Operations Director

Employment Status: Full-time, permanent

Location: Hybrid (Vancouver, BC). Minimum 1-2 days per week in-studio or shared office spaces, as dictated by business needs.

Wage: Starting at CAD$36.60 an hour

Benefits: Standard health benefits plus Health Spending Account (HSA)
