Role Summary
The Marketing Coordinator is the executional backbone of the marketing team, owning day-to-day ops, asset management, CRM maintenance, content scheduling, and frontline inbox management. You’re detail-oriented, proactive, and thrive in fast-moving environments. You ensure the details are handled, so the big things can shine. This role is foundational to keeping our marketing team aligned and our brand experience seamless across platforms.
Core Responsibilities
Marketing Operations
Maintain and update marketing calendars, timelines, and project schedules in Notion
Pull reports and assist in tracking key marketing project metrics to support campaign performance
Support with updating monthly marketing & community metrics in Notion
Manage recurring updates to ambassador memberships, guest passes, and corporate partner codes
Social & Community Support
Maintain the content & campaign calendar and ensure all assets, captions, and briefs are scheduled and delivered.
Schedule organic content across platforms (Instagram, TikTok, LinkedIn) and manage publishing queues via Later.
Manage daily social engagement, including replying to comments, monitoring brand mentions, and prompting UGC capture. Respond to DMs in an on-brand voice.
Support with monitoring the partnerships inbox and route incoming and outgoing emails to the appropriate team members for execution.
Identify and flag emerging social trends, platform shifts, or recurring community feedback to the Marketing Manager to inform content planning and strategy.
Asset and Content Management
Organize and manage digital assets (photos, videos, brand files) in a shared system for team-wide access (Google Drive, Notion, Canva)
Proofread and format marketing materials to ensure accuracy and brand alignment
Support with graphic design and asset creation as needed—including campaign content, social graphics, in-studio signage, presentation decks, email visuals, and branded templates
Support content editing and creation: basic video trimming, caption writing, image sizing, and template updates (Canva or Adobe basics).
Website Support
Assist with updating website content (via Squarespace) to ensure the site reflects current initiatives and offerings
Format site content to ensure consistency with brand voice and layout guidelines
Ensure digital studio content is current and up to date
Email and CRM Support
Support email marketing efforts via CRM platform—schedule newsletters, maintain automations, create/update landing pages, and manage contact lists
Track email engagement metrics (open rates, click-throughs, conversions) and support reporting
Proactively troubleshoot CRM issues and collaborate with the team to resolve them efficiently
Event Support
Provide event logistics support: RSVP lists, ticketing, materials, vendor coordination, and on-site checklists.
Execute activation logistics for ambassador or VIP events led by the Community & Partnerships Manager.
Deliverables
Daily
Respond to social DMs and comments; escalate strategic messages as needed
Monitor brand mentions and community inbox activity
Support incoming and outgoing communications from the partnerships inbox
Maintain updated campaign and task statuses in Notion
Weekly
Provide status updates to the Marketing Manager on task progress and deadlines
Schedule and publish approved content (email, web, social)
Update digital studio content
Monthly
Update marketing calendars, timelines, and Notion projects across both brands
Pull and update marketing and email performance metrics (by the 5th business day)
Maintain clean digital asset libraries and resolve basic formatting requests
Quarterly
Conduct a thorough website audit to flag outdated pages, links, or promotional content
As Needed
Flag and escalate website, CRM, or campaign issues within 24 hours
Assist with execution support for brand campaigns, events, and digital launches
Coordinate content requests and light creative needs (Canva, basic video edits)
Provide asset pulls, RSVP list support, and logistics assistance for activations
Measures of Success
Systems & Timelines: Calendars and projects are always up-to-date; deadlines are met without follow-up.
Accuracy & Brand Alignment: Digital assets, emails, and website updates are error-free and consistently on-brand.
Seamless Execution: Campaigns are scheduled on time, website content is current, and CRM tools function smoothly.
Reliable Reporting: Marketing and email metrics are tracked, summarized, and delivered on time.
Proactive Communication: Updates are shared regularly; questions are thoughtful and solutions-oriented.

Job Information
Location: Vancouver, BC
Type: Full-Time, 40 hours per week
Reports to: Director of Studios
Schedule: Must be available to work flexible hours, including mornings, evenings, and weekends, spending at least 80% of time in-studio across assigned locations.
Salary: Starting at $58k + bonus pontential
